Document management systems (DMS) manage unstructured documents from a variety of systems and sources within an IT system according to a specified structure and with defined file and search criteria. These include the different electronic archiving methods for all incoming mail as well as the support for team collaboration to generate documents.
The main areas of DMS consultancy are the following:
Collaboration: Collaboration refers to solutions which support internal as well as company-wide collaboration. Typical functions of collaboration are the management of project rooms, project files, as well as time and resource management.
Document Archiving: This is a classical archive for long-term storage of scanned or electronically generated documents. A frequent application is the revision-proof archiving of commercial documents in accordance with the guidelines of German Commercial Code (Handelsgesetzbuch HGB) and the tax code (Abgabenordnung AO).
Data Archiving: Due to tax regulations relevant accounting system data must be able to be reproduced at any time over the whole archiving period. The financial accounting system is not always the best place for this task. A DMS can manage this task better, presuming this was properly planned.
SAP Archiving: SAP systems often act as ERP and provide a set of special functions and interfaces for documents and data archiving.
Incoming Mail: In many companies all incoming documents are directly scanned. In order to make the processes more efficient, the solution must support the various business operations. An example is the distribution of documents depending on the document type to different business units.
DMS Outsourcing: The employment of DMS does not necessarily entail the implementation and operation of hardware and software at your own premises. Rather, these services can also be provided by service partners. These concepts are a very interesting alternative, especially for small and medium sized companies, to take advantage of a document management system at a reasonable cost.
